Enrolment Process for Doctoral Researchers

All doctoral researchers have to be enroled at RUB since winter term 2011/12 according to the North Rhine-Westphalia Higher Education Act. You can find more detailed information on our page about the doctoral database.

The enrolment process has been significantly simplified at RUB. You can complete all steps online. Your enrolment takes place in three steps and you will receive a doctoral card, which is equivalent to the student card. How the enrolment process takes place in detail depends on your current status: whether you are still enroled (e.g. as student) at RUB or whether you are not yet enroled at RUB (e.g. you come from another university). If you are medical student and do your doctorate during your studies there is a third way to enrol.

You need the following two obligatory documents before you can start your enrolment process:

  • Supervision agreement: You have signed together with a RUB scientist who is authorized to supervise a doctorate according to the doctoral regulations of your faculty (or a copy of the supervision agreement if you have submitted it to the faculty with the application for acceptance as a doctoral candidate).
  • Letter of acceptance: You need a written confirmation from the faculty that you have been accepted as a doctoral candidate (confirmation of acceptance according to the doctoral regulations).

Here we explain the different ways in detail:

In this case, you must reenrole yourself for doctorate. Your reenrolement will be done in three steps:

  1. Reregistration: If you want to reenrole for a doctorate, you must first be reregistered for the current term.
  2. Reenrolment to doctoral studies via online enrolment: You have to complete the online enrolment of the Registrar's Office. After online enrolment, you will receive a control sheet with further information and an enrollment number by email. With this enrolment number and date of birth you can login into the newly created Infoportal Immatrikulation. Upload the complete documents in PDF format to the Infoportal Immatrikulation by the deadline and approve the request for rewriting. You will find a list of all necessary documents (e.g. supervision agreement, acceptance letter by the faculty) in the information texts in the upload area of your Infoportal Immatrikulation. Here you can follow the status of the processing at any time.
  3. Registration in the doctoral database of the RUB: After your reenrolment by the Registrar's Office, you register in the RUB doctoral database (see below) to complete the enrolment data for your doctorate and finalize your enrolment. The earliest you can register is one day after enrolment, as the data is migrated to the doctoral database overnight.


You may reenrole for the upcoming termat any time when the reregistration period begins. The deadline for reregistration ends in sumer term at the end of May and in winter term at the end of November.

Your initial enrolment (or new enrolment) will take place in three steps:

  1. Online enrolment: You must enter your data via the RUB online enrolment.
  2. Enrolment through the Infoportal Immatrikulation: After your online enrolment (Registrar's Office), upload your complete documents in PDF format to the Infoportal Immatrikulation. A list of all necessary documents (besides supervision agreement, acceptance by the faculty) can be found in this PDF. The Registrar's Office will check your documents. If something is missing, you will be notified via the Infoportal Immatrikulation and by email. In the Infoportal Immatrikulation you can follow the status of the processing at any time. After the Registrar's Office has enroled you, you will receive all further information regarding the payment of the social contribution, etc. by email.
  3. Registration in the doctoral database of the RUB: After your reenrolement by the Registrar's Office, you register in the RUB doctoral database (see below) to complete the enrollment data for your doctorate and finalize your enrolment. The earliest you can register is one day after enrolment, as the data is migrated to the doctoral database overnight.

You can enrol in open-admission programs at any time during enrollment periods.

In this case, you must additionally enrol as a doctoral researcher. Your additional enrolment will take place in three steps:

  1. Reregistration: If you wish to enrol for doctoral researcher in addition to your studies at the Faculty of Medicine, you must be previously reregistered for the current term.
  2. Enrolment in the second degree program "Doctorate of Medicine": You must complete online enrolment (Registrar's Office) prior to enroling in your second degree program. After the online enrolment, you will receive a control sheet with further information and an enrolment number by e-mail. With this enrolment number and date of birth, you can login into the newly created Infoportal Immatrikulation. Upload the complete documents in PDF format to the Infoportal Immatrikulation by the deadline. A list of all necessary documents (e.g. supervision agreement, acceptance by the faculty, proof of the physics examination) can be found in the information text in the upload area of your Infoportal Immatrikulation. Here you can follow the status of the processing at any time.
  3. Registration in the doctoral database of the RUB: After your reenrolement by the Registrar's Office, you register in the RUB doctoral database (see below) to complete the enrolment data for your doctorate and finalize your enrolment. Afterwards, you will receive the RUB Research School Welcome Letter, which you will forward to your doctoral office. The earliest you can register is one day after enrolment, as the data is migrated to the doctoral database overnight.

You may enrole for the upcoming term at any time when the reregistration period begins. The deadline for reregistration ends in sumer term at the end of May and in winter term at the end of November.

Database Registration and Database Login

New Login

You complete your enrollment by registering in the RUB doctoral database. Previously, you needed a doctoral card with a chip and a chip card reader to log in.

Since summer 2021, RUB has already introduced the new 2-factor authentication (login ID, password and code) in many systems on campus in addition to the 1-factor authentication (login ID and password). Both login methods have now (Oct. 2021) been implemented for the doctoral database as well. As a note, we would like to mention that in the foreseeable future the login via smart card reader will be deactivated for the doctoral database and then only authentication via login ID, password and, if applicable, security code will be possible.

Where do I set whether I want 1- or 2-factor authentication?

In principle, you determine via the Identity Management of the RUB which login procedure you have chosen (1-factor authentication is set in advance). This is then valid campus-wide. You can also change the procedure there (e.g. from 2-factor to 1-factor authentication). The different login procedures for the doctoral database

In the following, we describe the ways you can log in and complete your registration.

After your registration in the doctoral database you will receive the RUB Research School Welcome Letter with which we confirm your registration.

To log in to the doctoral database, please click on the green login button in the right sidebar and enter your RUB Login ID and the corresponding password. If you have the 2-factor authentication, you also have to enter the 6-digit code that you generated with the Forge Rock Authenticator app on your smartphone. After that you are logged into the doctoral database.

When you log in for the first time, you will provide all the necessary information to complete the registration process. Subsequently, you will receive the RUB Research School Welcome Letter by email to your RUB email address. Doctoral students of the Faculty of Medicine forward the Welcome Letter to the doctoral office.

The next time you log in, you will automatically be directed to your personal account.

You can log in regularly with a smart card reader and your doctoral card via the green login button in the right sidebar to the doctoral database. Please enter your 6-digit PIN, which you received with your ID card during enrollment.

When you log in for the first time, you will provide all the necessary information to complete the registration process. You will then receive the RUB Research School Welcome Letter by e-mail to your RUB e-mail address. Doctoral students of the Faculty of Medicine forward the Welcome Letter to the doctoral office.

The next time you log in, you will automatically be directed to your personal account.

If you have technical problems and need the RUB Research School Welcome Letter at short notice, you can use the registration form. Then send the completed form to us by e-mail. We will transfer the data to the database and carry out the registration for you. You will then receive the RUB Research School Welcome Letter by e-mail to your RUB e-mail address. Doctoral students of the Faculty of Medicine forward the Welcome Letter to the doctoral office.

To complete your enrolment at RUB you must register in the doctoral database. You must wait until the next work day from initial enrolment for the registration to work.
